REGULATION ON TEST AND EXAM ADMINISTRATION AND ASSESSMENTS

SECOND SEMESTER, ACADEMIC YEAR 2016-2017

1. Exam preparation

1.1.  For each course organized in written form, the course instructors/lecturers have to prepare 02 versions of exam paper along with respective marking schemes with grading scale in 0.25 point. The exam paper should be typed or hand written using a black or dark blue ink pen, on one side of A4 sized papers, with at least 2 cm margin in each side (attached form). In the first session of the question paper, there should be the name, code and number of credit of the course, version of the exam questions, class (informing clearly course class code) and the time allowed. In the second session of the exam paper, it should be clearly written if any materials that students can bring into the exam room and use. The exam questions and their marking schemes should be kept on separate, signed and sealed envelopes. Each envelope should be clearly marked with information of the first session of the exam paper, full name and phone number of the instructor.

1.2. The time allowed for each course organized in written form requires 30 minutes per credit but may not exceed 120 minutes for courses carrying more than 4 credits.

The marking scheme paper should include the signature and full name of the instructor (attached form). In case of necessary, the University will publish the marking scheme for students to know and check their answers.

1.3. The exam papers are prepared by the course lecturers or other appointed members of academic who have the same background. Courses with the same code, title, number of credits, and languages taught by different lecturers in different classes are to have one common final exam which is prepared with the contribution and agreement from all lecturers of the courses (under special circumstances, the exam paper should be approved by the rector’s board).

1.4. Exam papers for students of QH.2014 (K59), QH.2015 (K60), QH.2016 (K61) must be delivered to the Academic Affairs Department, exam papers for students of QH.2013 (K58) must be delivered to the faculty coordinating the course classes before May 15, 2017.

2. Grading the exams

2.1.  For oral exams

a)  Each course must have a bank of exam question sets which are equivalent in term of knowledge content;

b) In each exam room, in addition to the instructor of the course, there must be at least another exam supervisor who is responsible for checking students' identification and administering students' random draw of question sets;

c)The oral exam mark must be informed to the students right after the exam and the mark report must be delivered to the Academic Affairs Department within one week from the exam date.

2.2.  For written exams (multiple-choice or essay test)

a) Marking time: a day after the date of the exam, a lecturer can do the marking and must finish his or her work within one week from the exam date. For course exams scheduled in the last exam week (from Jun 12 to Jun 17, 2017), the marking must be done before Jun 20, 2017.   

b) The students’ exam papers of the general courses, exam papers of QH.2014 (K59), QH.2015 (K60), QH.2016 (K61) students are to mark at the Academic Affairs Departments. Exam papers of QH.2013 (K58) are to mark at the respective Faculties. Removing the exam papers from the marking venue is strictly prohibited, instructors have the responsibility to do the marking as scheduled.     

c) Academic Affair Department and Faculties must appoint specific people to deliver exam papers to the markers: exam papers of students violating the examination regulation at level of exam cancelling (with attached reports of violation) are kept; for the remain exam papers, two sides have to check the number of exam papers, number of pages according to the “List of students taking the final exam”, the markers must sign in the notebook of collecting and delivering exam papers in the second semester, academic year 2016-2017.

- The markers must have the responsibility of preserving the exam papers and must not remove the exam papers from the marking venue approved by the Academic Affair Department and the Faculty.

d) Use the red ink pen to cross out all the blank space directly in the exam papers. Marking must follow the marking scheme, mark of each part of a question is written in the outer margin next to the marks allocation for that part, then total marks available for every question are written down, summed up and the markers must sign on every pages of students’ exam papers.

e) Final exams must be marked on a scale of 10 (0 to 10) with one-digit decimal and must has a weight of not less than 60% of the course mark.

f) Record all the marks in the list of students taking the final exam using blue ink pens. Markers must write precisely the mark of each student listed in figures and in words.  

g) Write day/month, sign and write down the full name of markers in the list of students taking the final exam.

h) After finish the marking, markers must deliver the students’ exam papers, the list of students taking the final exam with all marks to the Academic Affair Department or the Faculty:

- Staff of the Academic Affair Department or the Faculty check whether the marker record precisely with sufficient information or not.

- When delivering the exam papers, it is noted that the markers and the receivers have to check whether the number of exam papers, number of pages are enough, and have to sign on the collecting and delivering exam papers in the second semester, academic year 2016-2017.

3. Announcement of Exam Results

a) Staff of the Academic Affair Department or the Faculty must cross-check the scores of students on their exam papers with the ones on the score list, if the score recording is not correct, the markers must change the score before announcing the final scores to students.

b) Academic Affair Department updates the partial assessment mark and the final exam mark of all programs for students informed on the student portal.

c) The University summons the academic assistant of all faculties to participate in the mark recording check before informing to students (detailed schedule of the check will be presided by the Academic Affair Department).

Exam questions, answers and students' exam papers must be preserved and stored at the Academic Affair Department for at least two years from the dates of the exams./.
